You can build a CRM without writing code by describing your sales process to Kuika AI in a few sentences. Kuika AI asks a couple of quick questions, shows you a plan, and then builds a working app with screens, its own database, sign-in and roles. You change it afterwards by chatting or by clicking on the screen. Most teams get a first usable version in one sitting.
What a good CRM needs
Before you write anything, think about three things. They make the difference between a generic contact list and a CRM your team will actually use.
- The records you track. Usually companies, contacts, deals and activities such as calls, meetings and notes.
- How a deal moves. Your stages, from first contact to won or lost, and what has to be true at each stage.
- Who sees what. A sales rep often sees only their own deals. A manager sees everyone's and needs totals.
Write these down in plain words. That is your prompt.
Step by step
- Open Kuika AI and choose Web. The prompt box on the home page has a Web and Mobile choice. A CRM is usually a web app your team opens at their desk.
- Keep Plan mode on. With Plan mode on, Kuika AI drafts a plan first and nothing is built until you approve it. That is the safest way to start a bigger app.
- Describe your CRM. Paste your notes into the prompt box. Name the records, the stages and the roles.
- Answer the quick decisions. Kuika AI shows a few short questions, one at a time. Pick an option, or press "Decide for me" for anything you do not care about.
- Read the plan. You will see the screens, the data, the color palette and the user flow. If something is missing, say so in the chat and Kuika AI updates the plan.
- Press "Create the app". Kuika AI builds the screens one by one and you watch them appear in the live preview.
- Try it. Click through the app in the preview. It comes with realistic sample data, so lists and charts are not empty on the first open.
Here is a prompt you can start from:
Build a CRM for a small sales team. Track companies, contacts and deals. Deals move through the stages Lead, Qualified, Proposal, Won and Lost on a board. Each deal has an owner, a value and an expected close date. Sales reps see only their own deals, managers see everything and get a dashboard with pipeline value by stage and deals won this month.
Bring in your existing contacts
Most teams already have a contact list somewhere. Export it as a CSV file, then open the Database view in Kuika AI, pick the contacts table and use Import CSV. You choose the file and match its columns to the table's columns. Your real contacts then sit next to the sample data in your preview, and you can delete the sample rows whenever you like. Keep in mind that the preview's data is yours alone. The Test environment you publish to later starts with its own, separate database.
Add activities and follow-ups
A CRM earns its keep when nobody forgets a follow-up. Once the first version works, ask for the next piece in the chat:
Add an activity log to each deal and contact: calls, meetings and notes with a date and the person who logged it. Show overdue follow-ups at the top of the home screen for the signed-in rep.
Kuika AI changes only the parts of the app that the request touches. If you want to review the change first, switch Plan mode on for that message and press "Build this plan" when you are happy.
Set up sign-in and roles
New apps include sign-in out of the box: registration, email verification, password reset and optional two-step verification. You do not need to ask for it.
Roles are where a CRM gets personal. Open More › Users & access to see the roles Kuika AI created, for example a sales rep and a manager. To check that a rep really sees only their own deals, use Preview as in the preview tools and pick the rep role. The app redraws as that person would see it. If something shows that should not, tell Kuika AI in the chat and check again.
Polish the look
Click Edit design in the preview and then click any element: a button, a heading, a card. A small toolbar lets you change the background, text color, font, corner radius and spacing. For bigger changes, choose Regenerate and pick a direction such as "Try another layout". Every change is saved in the version history, so you can always go back.
Share it with your team
When the CRM is ready to try, press Share and copy the link. For everyday use by the whole team, publish it to the Test environment from the Publish menu. Test has its own address and one shared database, so everyone sees the same deals.
Send each sales rep an email every Monday at 9:00 with their open deals, the total value and any follow-ups that are overdue.
Common questions
Do I need to know how to code to build a CRM in Kuika AI?
No. You describe what you want in plain words, approve a plan, and Kuika AI writes the app. You can look at the code if you are curious, and you can download it, but you never have to touch it.
Can I import my contacts from a spreadsheet?
Yes. Save the sheet as a CSV file, open the Database view, choose the table and use Import CSV. You match the file's columns to the table's columns before anything is written.
Can each salesperson see only their own deals?
Yes, if you ask for it. Say it in your prompt, for example "reps see only their own deals", then use Preview as with the rep role to confirm the app behaves that way.
