A customer portal is an app where your customers sign in and see their own information: orders, tickets, documents, invoices or appointments. With Kuika AI you describe what customers should see and do, and Kuika AI builds the portal with sign-in, roles and its own database already in place. The key step is checking that each customer sees only their own records, and Kuika AI gives you a tool for exactly that.
What sign-in you get out of the box
Every new Kuika AI app comes with a complete account system. You do not have to ask for it:
- Registration with email and password
- Email verification with a code
- Forgot and reset password
- Optional two-step verification with an authenticator app
- Sign-out and an account security page
By default, sign-up is open, email verification is required and the business screens need a signed-in user. If your portal should be invite-only, say so, for example "customers cannot sign up themselves, our staff invite them".
Plan who sees what
A portal has at least two kinds of people: your customers and your staff. Write down, for each of them:
- What they can see: only their own records, their company's records, or everything.
- What they can do: open a request, upload a file, approve a quote, change a status.
- What they must never see: other customers' data, internal notes, prices for other accounts.
Put these sentences straight into your prompt. Kuika AI turns them into roles and permissions.
Build a customer portal for a facilities services company. Customers sign in and see only their own company's sites, open service tickets and invoices. They can open a new ticket with a description, a priority and photos. Our staff see all tickets, assign them to a technician and update the status. Customers get an email when the status of their ticket changes.
Step by step
- Describe the portal in the Kuika AI prompt box and choose Web.
- Answer the quick decisions in Plan mode. Questions about sign-up and who can invite whom are common here.
- Check the plan's data and roles. You want a customer role, a staff role and a link between each user and their company.
- Press "Create the app".
- Open More › Users & access. The Roles tab shows each role and what it is allowed to do. The Users tab lists the accounts, and its environment switch shows the preview or the Test environment.
- Use Preview as. Pick the customer role in the preview tools and look at every screen. Then pick the staff role and do the same.
- Fix anything that leaks. If a customer can see something they should not, describe it in the chat, for example "customers must not see internal notes on a ticket". Then check again.
Make it feel like your company
Customers notice when a portal looks like the rest of your brand. Pick a design system on the home page before you start, or change it later. Then click Edit design in the preview to adjust individual elements: the header color, button corners, spacing in cards. You can also attach your logo or a screenshot of your website in the chat and ask Kuika AI to follow it.
Use our brand color dark teal for the header and primary buttons, use a rounded card layout for tickets and show the company logo at the top left. Add a short welcome line with the customer's name on the home screen.
Add the useful extras
Once the basics work, these are popular next requests:
- File uploads, such as photos on a ticket or signed documents.
- Notifications by email when something changes.
- A PDF of an invoice or a service report, designed in the Reports view.
- An assistant inside the portal that answers customer questions using the app's own actions. Kuika AI can add an AI chat to your app when you ask for it.
Invite real customers
The preview runs in your browser with your own data. For real customers, publish the portal to the Test environment from the Publish menu. Test gets its own HTTPS address and one shared database. Run the security scan from the same menu before you send the address to anyone.
Larger organizations can also connect the portal to their company sign-in, such as OIDC or SAML providers. Talk to your Kuika AI administrator if you need that.
Common questions
Do I have to build the login screens myself?
No. Sign-in, registration, email verification, password reset and optional two-step verification are included in every new Kuika AI app. You only describe the rules, such as whether customers can sign up themselves.
How do I make sure customers only see their own data?
Say it in your prompt, for example "customers see only their own company's tickets". Then open the preview as the customer role with Preview as and check every screen.
Can customers sign in with Google?
Not today. Apps built with Kuika AI use email and password sign-in, with optional two-step verification. Company sign-in through OIDC, SAML or Active Directory is available for organizations that set it up.
