From spreadsheets to apps, a guide for operations teams

Operations teams run on shared spreadsheets. When a sheet starts to break, here is how to decide what to turn into an app first and how to make the move without a project.

Operations teams keep companies running, and much of that work lives in shared spreadsheets: stock lists, delivery schedules, maintenance logs, supplier contacts, shift plans. Spreadsheets are fast to start and easy to change. They are also where processes quietly break. This guide is about spotting the sheets that should become apps and moving them over without turning it into an IT project.

When a spreadsheet stops working

Imagine a warehouse team that tracks incoming deliveries in one shared sheet. It works well with three people. Then the team grows. Someone sorts the sheet while another person is typing. A supplier's row is deleted by accident. The "status" column has six spellings of "received". The weekly report takes Friday afternoon.

None of this is anyone's fault. A spreadsheet has no idea who should change which cell, what a valid status is or what should happen next. An app does.

Which sheet to move first

Not every spreadsheet needs to become an app. A good first candidate has:

  • Several people editing it, not just one analyst.
  • A status or a step, such as requested, approved, ordered, received.
  • Rules people forget, like "orders above a limit need a second approval".
  • A repeated chore, such as a weekly summary or a reminder email.
  • Some rows that not everyone should see.

If a sheet ticks three of these, it is a strong candidate.

What changes when it becomes an app

In the spreadsheetIn the app
Anyone can change any cellEach role can do only its own steps
Status is free textStatus is a fixed list, changed by a button
Rules live in people's headsRules are built into the app
The weekly report is built by handThe report is a screen, an email or a PDF
History is "who last touched the file"Each change can be recorded with a name and time

Moving over without a project

With Kuika AI, the move happens in an afternoon, not a quarter.

Start from the sheet you already have. Attach the Excel or CSV file to your prompt. Kuika AI reads every tab and the results of formulas, and uses them to understand your columns and values. Then describe the people and the process in a few sentences.

PromptTry this prompt
Turn the attached delivery sheet into an app. Purchasing logs each expected delivery with supplier, items, quantity and expected date. The warehouse marks it as received and records any damaged items. Purchasing sees late deliveries at the top. Every Monday at 8:00, email the team leads a list of deliveries expected this week.

Check the plan. Plan mode shows the screens, data and roles before anything is built. This is where you catch the rule nobody wrote down.

Bring the rows over. The attached file shapes the app but is not copied into it. To load your existing rows, save the sheet as CSV and use Import CSV on the table in the Database view. You match the columns before anything is written.

Let people try it. Send a share link to two or three colleagues. Each of them gets their own copy of the data to try things without affecting anyone else.

Go live for the team. When it works, publish the app to the Test environment. It gets its own address and a shared database, so everyone works on the same records.

Keep what people liked about the sheet

People love spreadsheets for good reasons, and a new app should respect them:

  • Familiar names. Kuika AI keeps the column and status names you use, so nobody has to learn new words.
  • Getting the data out. The Database view can download a table's rows as CSV, and you can ask for a scheduled export of the full list.
  • Quick changes. If a column is missing next month, ask for it in the chat. You do not need to wait for a release.

Start small

Pick one sheet, one process, one team. Move it, use it for two weeks and ask the team what is still annoying. Fix that in the chat. Then pick the next sheet.

The goal is not to remove every spreadsheet. It is to stop running important processes on files that anyone can break by accident.
